Last year the Community Special Events program raised over $6 million from more than 100 community events.  These are primarily third party events (run by volunteer organizers and involving their networks of friends) and range in size and type from small dinner parties to large galas, golf tournaments, pledged sports events, a comedy night – the list goes on.  The Foundation’s support role ranges from simply accepting a cheque to full participation with a volunteer committee in the planning and execution of an event, and the timely and accurate distribution of tax receipts.

The Position

Reporting to the Director, Special Events and an integral member of the Special Events Team at The Princess Margaret Hospital Foundation, the Manager, Special Events will be responsible for the strategic management of a portfolio of events, programs and special projects, bringing them to the next level of success.

He or she will work closely with internal PMHF staff (including Finance, Annual Giving, Research, Medical Staff, and Volunteer Resources) and external groups such as Volunteer Committees and Event Organizers, Consultants, Suppliers, Corporate Sponsors, Donors, Participants, Media and General Public.

Specific Responsibilities

Grow the Special Events program:

Manage a portfolio of Special Events

Evaluate strategic direction of each event; investigate and pursue opportunities to add value

Evaluate budget each event in the portfolio to look for ways to increase revenue and opportunities for cost savings

Manage and increase Sponsorship program for a selected group of events

Develop critical path, timelines and checklists for events and ensure deadlines are met

Research and develop ideas for Signature (in House Events) and other third party events

Monitor and develop social media strategies and tools to utilize opportunities to enhance events

Manage internal and external supplier relationships and activities

Human Resources/Working Relationships

Manage staff, students and volunteers providing leadership and guidance

Develop, implement and communicate performance measures; conduct regular performance appraisals of direct reports

Develop working relationships and provide event expertise to staff, volunteers, donors and other departments of the Foundation and Hospital

Provide supervisor with regular updates on projects, volunteers and donors

Finance:

Participate in annual strategic planning and budgeting process.

Ensure financial targets are achieved as efficiently and effectively as possible

Ensure that all depositing and fund processing procedures are done in a timely manner and reconciled in accordance with the processes of the Finance Department and the CRA guidelines

Monitor portfolio of event / program budgets on a regular basis

Prepare and present financial reports of events, as required

Undertake timely financial and event analysis to identify opportunities for improvement following completion of event/program

Ensure all donor and volunteer records are up to date and accurate and appropriate in Raiser’s Edge and hard files and complies with the Foundation’s Privacy policies as required

Communications:

Develop communication materials (proposals, sponsorship packages, evaluation reports, correspondence, web content, newsletter information, etc)

Represent the Foundation in the internal and external community, including the media

Ensure clear, consistent messages regarding the Foundation and the Hospital

Provide regular event stewardship report and fund update to event donor groups

Deliver appropriate recognition to event donors and volunteers consistent with PMHF recognition policies

Administration:

Ensure special events and donor records are set up and tracked in Raiser’s Edge

Ensure information about donors complies with PIPEDA and the PMHF Privacy Policy

Take a leadership role in UHN initiatives and maintain effective inter-professional working relationships

Personal Skills Profile

In an ideal world the successful candidate will possess a special events background in the not for profit sector with a track record of success specifically when it comes to abilities to lead and inspire the team to new heights. Incredible attention to detail and technical depth, ideally with knowledge of Razors- Edge software, are must haves. He/she will be a proven team player and enjoy collaborating with the other members in the Foundation. Disciplined thinking will be critical to success. He/she must have a strong personal presence, comfortable in dealing with executives and yet able to scale down to assistant level with ease. He/she must be upbeat and positive and not at all concerned about working evenings or weekends if the job demands are such. The Foundation executive are very respectful when someone puts in this extra effort and will provide days in lieu.

Candidate’s Prior Experience

The incumbent will possess/be:

A background in fundraising and events/ 5+ years experience

Highly competent technical skills including Excel, Rasor’s Edge, Raisin and Outlook

A clear and effective communicator, both orally and in written form

An expert on key issues, like tax receipting

An engaging personality, a people person

Demonstrated experience in developing business processes

Strong financial and analytical skills

Demonstrated track record of successful project management and the ability to manage in a dynamic and ambitious environment

Demonstrated team player and leader, but can work independently

Proven ability to problem solve at a strategic level, as well as tactical execution

Results oriented, able to set priorities and to deliver consistently high professional standards

Undergraduate (or higher) Degree, CFRE Accreditation an as asset
